Built by operators, for operators

All the little details about your venue nobody has ever told you

Venue Harmony looks after your bookings and reservations, and enables your team to run the venue. It surfaces the details that open a path to your success.

We do not demand a percentage of every ticket, and you get paid first. An honest one percent while you ramp, capped at a flat $99 per venue.

Escape rooms, competitive socialising, attractions, tours, classes and hospitality.

Most booking software tells you what you sold. It shows you last week's takings and this week's bookings, and that is where it stops. It will not surface the room that reviews brilliantly and earns the least. Or the discount code that has been quietly taking four percent since March. Or the Tuesday slot you have been staffing for eight months without selling.

Every venue, one login

One customer list. One set of vouchers. One place to look.

Most systems can tell you what you took last week. Far fewer can tell you whether your parties are getting smaller, whether spend per head has slipped since March, or which of your experiences earns the least per hour.

We track occupancy, average party size and spend per head separately, per experience and per day part, so when takings move you can see which one moved them. Fewer bookings is a marketing problem. Smaller groups is a packaging problem. Less per head is a pricing or discounting problem. They need different answers and most software gives you one number.

None of it waits for you to be a bigger venue or to pay for a higher tier.

A customer who played at one site should not be a stranger at the next

Open a second venue on most systems and you get a second account. Two customer lists. Two sets of vouchers. Two exports to join by hand when you want to know how the business actually did.

Here it is one login. The same customer wherever they book. The same voucher whichever door they walk through. One report covering all of it, going back as far as you have been trading.

You can turn the sharing off for a site you want run on its own. Most people never do.

Small things, every shift, forever

Waivers get signed before people arrive, inside the check-in, not on a clipboard while a group of eight stands in your foyer.

A gift voucher that only gets half used stays valid for the rest. No phone call. No new code. No staff member apologising for something that is not their fault.

If a slot goes while someone is paying, their card is never charged. The authorisation drops and nothing comes out. You will not get the Monday morning call about money taken for a booking that does not exist.

The day runs on the same system that took the booking

Run sheets so whoever opens knows what is on. Briefing notes attached to the session instead of living in someone's head. What actually happened written down at the end of it, while it is still fresh.

It does not assume what sort of venue you are. A session is a room, a lane, a bay or a table, and it reads the same either way.

You stand in front. We stay behind the scenes.

Your logo, your colours, your wording. Not a supplier's name sitting on your customer's screen while you pay for the privilege.

You set it up yourself, and it is there at one venue the same as it is at twenty. Most platforms treat white-labelling as the thing that unlocks the expensive plan. There is no reason for that beyond wanting your money.

Your staff see your words too. Run sheet or calendar. Players or guests. Nobody should have to learn our vocabulary to do their job.

One percent, capped at $99 a venue

A venue that takes nothing pays nothing. A venue doing three thousand a month pays thirty dollars, which is the one percent. Once it is doing properly the fee caps at $99, and that is the same number in your fifth year as your first.

If you only trade five months, you should only pay for five months

Snow season. Summer strip. School holidays. Festival runs. Plenty of venues make a year's money in a handful of months and then sit quiet, and every platform we know of charges straight through the middle of that.

Every venue here has its own one percent and its own cap, so a site that is shut is barely charged at all until it opens again. A snow operator turning over fifty thousand a month across five months pays around $245 for the year, because the other seven cost close to nothing.

Nothing goes dormant while you are shut. Your bookings, your customers and your reporting stay there, which is when most people actually do their planning. Vouchers sold at the end of one season still work at the start of the next.

How it works across a season →

You get paid first, and it goes to your account

Your takings land in your own merchant account under your own gateway. We never hold your money, we never decide when you get it, and we take nothing on the way through.

Your customer never enters a card on a page we built. That step is handled by Stripe, which means you fill in the shortest card-security form there is instead of the long one with the quarterly scans and the annual audit. Most platforms cannot say that, because they put the card fields on your page.

And the booking form runs inside your own website rather than in a window borrowed from someone else, so your Google and Meta tracking follows the whole thing through. If you spend money on ads you have probably suspected your numbers were incomplete. They are.

If you leave, you leave with everything

No contract. Month to month.

Photos

Staff
Your staff accounts, signed in with accounts you already control.
History
Your booking history, in full, any day you want it, at no charge.

Which means you can put one venue on it for about ten dollars a month, keep your current system running beside it, and decide using your own numbers instead of ours.

How switching works →

You can try this without turning anything off

Almost nobody changes booking systems, even after years of hating one, because it is where the money arrives and getting it wrong lands on a Monday morning with customers on the phone.

So we pull your history across through the back end rather than through an export that will not give it to you properly, and run alongside what you already have. Yours stays in charge. Ours copies it. You watch a report until the two agree, and nothing switches until you say so.

Your old account is never touched and stays sitting there behind you. At no point are two systems selling the same slot.

How switching works →

Built by an operator

Ten years running escape rooms, and events and weddings before that. Venue Harmony is the list of things that needed fixing across all of it, written down and then built. Every item on it is there because something went wrong on a Saturday night and there was a workaround instead of a fix.

Built by operators, for operators.

We would rather tell you what is built than imply the rest

It is running in production at a multi-venue operator, and we are onboarding a small number of founding venues before general availability. There are no customer logos on this page because we have not earned any yet.

Every feature on this site carries its real status, so nothing here is sold to you as finished when it is not.
